Deliver exceptional customer service

Improve lead quality and deliver superb customer service with AI automation

AI automation takes the parts of running a business that nobody enjoys - chasing leads, answering the same five questions, copying details from one tool into another - and hands them to a system that does it in seconds. At 2am. Without forgetting.

How it actually works

What one automation looks like

This is a real, ordinary workflow - an enquiry arriving on your site at eleven at night. Every step below happens without anybody being awake.

Step 01

Someone enquires

A form on your site, a WhatsApp message, a reply to an ad. It all arrives in the same place instead of four.

23:04
Step 02

AI reads it

What they want, where they are, how urgent it sounds, and whether it's a real job or somebody selling you SEO.

23:04
Step 03

It gets logged and routed

Into your CRM or sheet with the source attached, and to whoever handles that kind of job - with an alert if it's urgent.

23:04
Step 04

They get an answer

A real reply with the information they asked for and a link to book - then a follow-up on day three if they go quiet.

23:05

The customer got an answer in under a minute. You found out about it over coffee.

What we automate

Six things worth handing over

Lead capture and routing

  • Forms, ads, WhatsApp and calls into one place
  • Sorted by service, area and urgency
  • Sent to the right person with the source attached

Chat that answers properly

  • On your site and on WhatsApp
  • Trained on your services, areas and prices
  • Hands to a human the moment it should

Follow-ups that actually happen

  • Quote sent, then chased on day three and day ten
  • Appointment reminders that cut no-shows
  • A review request after the job is finished

Your tools, talking to each other

  • Website, calendar, CRM, sheets, email, invoicing
  • Details typed once and appearing everywhere
  • Built on what you already pay for

The paperwork nobody wants

  • Quotes and job sheets drafted from an enquiry
  • Invoices raised when a job is marked done
  • Weekly summary of what came in and from where

Knowing what's working

  • Every enquiry tagged to the channel that produced it
  • Calls tracked, not guessed at
  • One monthly page you'll actually read

How it works

1

A free diagnostic

We map how an enquiry travels through your business today and where it stalls. You get the list of what's worth automating, in order, whether or not you use us.

2

One workflow, built properly

We start with the one costing you the most - usually response time - and get it working on your real tools. Live in one to two weeks, not one to two quarters.

3

Then the next one

Once it's earning its keep, we add the next. Automating everything at once is how these projects die, so we don't. You own everything we build.

The problem

The lead didn't go cold. It went unanswered.

Most small businesses don't lose work because their marketing is bad. They lose it because an enquiry arrived at 6pm on a Friday, sat in an inbox until Monday, and by then the customer had already booked somebody who replied.

Meanwhile the same details get typed out three times - once in the form, once in the spreadsheet, once in the calendar - and every one of those is a chance to lose a digit off a phone number.

Speed decides who wins

A customer with a leaking pipe or a broken boiler is messaging three businesses at once. The one who answers first usually gets the job, regardless of who was cheapest.

The same questions, forever

Do you cover my area? How much roughly? Can you come Tuesday? The same handful, every day, each one needing a human to stop what they're doing.

Nothing is written down

Half the enquiries live in a phone, half in an inbox, and none of it is anywhere you can look at later to work out where the work came from.

In practice

What changes on an ordinary Tuesday

Form submitted at 11pmSits in an inbox until Monday Answered in under a minuteLogged, routed, and a booking link sent
"Do you cover Benicàssim?"Someone stops a job to reply Answered instantly, with the price rangeEscalated only if it's a real job
Quote sent, then silenceNobody remembers to chase it Chased on day three and day tenPolitely, and without you doing it
Booking made by phoneWritten on a pad, sometimes In the calendar with a reminderSent the day before, so they turn up
Job finishedYou mean to ask for a review Review request goes out that eveningWorded so the answer says something useful

The difference

How this usually gets sold, and how we do it

With reperio

  • Built on the tools you already pay for
  • One workflow at a time, starting with what costs you jobs
  • A human takes over the moment a conversation needs one
  • You own the accounts, the automations and the data
  • Live in weeks, then improved once you've used it

The usual pitch

  • A new platform you have to move everything into
  • Everything automated at once, then abandoned
  • A chatbot that loops forever and never fetches a person
  • Built in an account the agency owns, so leaving costs you it
  • A three-month build before anything works at all

FAQ

AI and automation - the questions we get asked

What is AI automation, in plain terms?

It is software that does a repetitive job the way you would do it, without being asked each time. A lead fills in your form, and instead of sitting in an inbox until someone notices, it gets read, sorted, logged in your system, replied to, and put in front of the right person. AI is the part that handles the messy bits - reading what someone wrote and working out what they actually want.

Will this replace my staff?

No, and we would be wary of anyone selling it that way. What it replaces is the copying, pasting, re-typing and chasing - the parts of the day nobody was hired to do. In a small business the usual result is not fewer people, it is the same people finally getting to the work that needs a person.

Do I have to change the tools I already use?

Almost never. The whole point is to connect what you already have - your website forms, WhatsApp, email, your calendar, your spreadsheet or CRM - rather than move you onto something new. If a tool genuinely cannot connect, we will tell you, but replacing your systems is the last resort, not the opening pitch.

Can it reply to WhatsApp and messages?

Yes - and this is usually the highest-value place to start, because most enquiries now arrive as a message rather than a phone call. It can answer the questions you get asked constantly, take the details you need, book straight into your calendar, and hand over to a human the moment the conversation needs one. You decide where that line sits.

Where should a small business start?

With whatever is currently costing you jobs. For most local businesses that is response time - a lead that waits four hours has usually already called somebody else. We start with one workflow, get it working properly, and only add the next one once the first is earning its keep. Automating everything at once is how automation projects die.

How long does it take, and what does it cost?

A single workflow is usually live within one to two weeks, because we build the smallest useful version first and improve it once you have used it. Cost depends entirely on how many processes you want handled and how tidy the existing tools are, so we quote after the diagnostic rather than before - and the diagnostic is free.
